GUIDELINES FOR ORAL PRESENTATIONS

Congratulations on getting your work accepted for the WONCA Europe 2016 oral presentations. Please pay careful attention to these guidelines which will provide instructions you may need.

Please inform the WONCA Conference Office immediately at of any changes in title, presenter or mailing address. This will go into the online program.

Allow enough time between your arrival and the time of presentation. The programme is tightly scheduled and it is impossible to delay a presentation. Upon arrival at the congress centre, please check whether any changes in time or room have occurred.

All presentations are held in English. Do not cover too many details. Discuss only the major points of your work, supported by the conclusions drawn from your data to the audience in a limited time. A rushed presentation with too many slides is of no use to the audience. If you exceed your time, the session chairperson will be forced to terminate your presentation.

PRESENTATION

Identify yourself to the session chairperson 10 minutes before the session. Follow the instructions of the chairperson; especially regarding the time for your talk. Each session will last 60 or 75 minutes. The chairs are responsible for disposing time. There will be 5-6 presentations in each session with a time frame, as follows:

·                  Introduction of the presenter/presentation (½ minute)

·                  Presentation (8 minutes)

·                  Discussion (2-3 minutes)

·                  Closing of the presentation (½ minute)

Speak directly into the microphone in a normal voice and do not handle the microphone.

POWERPOINT PRESENTATION

The PowerPoint presentation has to be saved on the server of the Congress Centre. It will be “transferred” to the room of your presentation. Private computers cannot be allowed to be used for the sessions. Preview is possible in the Speakers Lounge. Each lecture room is equipped with PC laptop computer, one data/video projector and one large screen. PowerPoint format is broad 16:9. The native resolution of the projector is 1024 x 768.

PREPARATION OF YOUR PRESENTATION

-  Keep data on each PowerPoint slide simple (better use several slides than to crowd one).

-  Use large, legible letters.

-  Keep pictures light (dark slides project poorly in a large auditorium).

-  Colour is attractive on data slides but use light colours only.

-  Patient confidentiality must be protected.

-  Avoid commercial reference. Advertising of products is prohibited.

-  Bring your PowerPoint on a USB stick to the Speakers’ Lounge and please ensure that all data is on the USB stick (e.g. embedded video files, extra fonts, special graphs/drawings/pictures).


SPEAKERS LOUNGE

In the Speakers Lounge, technicians will receive your presentations and transfer them to the conference PCs. Presentations have to be deposited by the speaker preferably the day before, and at least 1 hour before the start of the session. All presentations are transferred to the relevant lecture hall via the internal network. Only trained personnel will handle your presentation. The Speakers Lounge is located just after Registration desk and will be open when registration starts and throughout the congress.

GUIDELINES FOR POSTER PRESENTATIONS


Congratulations on getting your work accepted for the WONCA Europe 2016 poster presentations. We hope that you will enjoy presenting and discussing your work with other participants. In order to effectively communicate the content of your poster, you are kindly requested to follow these guidelines when developing your poster.

SIZE OF POSTERS

Poster format is A0 (841x1189 mm), vertical. (Your poster can be smaller but must not exceed these dimensions).


PREPARING YOUR POSTER

-  All exhibits have to be in English

-  Organise your poster as follows:

 Introduction/Background – Objective/Methods – Results – Conclusions

-  Keep all elements of your poster (pictures, tables, graphics, drawings, photos) simple.

-  Remember that the visitor has to be able to read the text from a distance of up to 1.5 m.

-  Make sure that the poster speaks for itself and does not require extensive explanations.

-  Plan your layout in such a way that the viewer can move her/his eyes from left to right and from top to bottom with appropriate breaks.

-  Try to prepare a poster in one part - if constructed with many parts make sure to know the order.

-  References can be presented in smaller font size, but you will need to restrict the number of references to a maximum of 6.

-  It is also useful to have A4 sheet handouts similar to the poster. This provides a useful ‘take-away’ resource. Please make sure you provide your contact details on the handout.


Double adhesive tape will be provided to allow you to stick your poster to the poster board.

HEADINGS

Headings featuring title and authors have to be prepared in (minimum) font size 24 by the author. The board of your poster will be numbered which will be the same as your poster number communicated to you and found in the final programme. Viewers will find your poster according to the title of your submitted abstract and number as stated in the final programme.

DISMANTLING & REMOVAL

Your poster will be displayed either Thursday or Friday so we kindly ask that it is mounted before 10 am on and is removed before 5.30 pm on the day allocated to your poster. Any posters remaining after the congress may be disposed of. WONCA Europe and its staff are not responsible for packing, removing or shipping your poster. If you have to leave before your dismantling time, please designate a colleague to be responsible for removing your poster.

We appreciate if you are available around your poster during the coffee breaks/poster breaks on Thursday and Friday.

CLAIMS                                            

Neither WONCA Europe nor the Exhibition venue are responsible for any loss or damage of your poster or can be held liable for injuries to persons or damage to property owned by the poster presenter. WONCA Europe and the Exhibition venue are free from all liabilities which may arise from the poster presenter’s participation in WONCA Europe and its activities.

GUIDELINES FOR ONE SLIDE-FIVE MINUTES



Congratulations on getting your work accepted for the WONCA Europe 2016 ‘One slide-five minutes’ for specially selected presentations.

Allow enough time between your arrival and the starting time of first presentation of the session. Identify yourself to the chairperson of the session 15 minutes before the beginning of the session.

Upon arrival at the congress centre, please check whether any changes in date, time or hall of your presentation have possibly occurred and locate your presentation hall in good time.

The ‘One-slide-five-minutes’ session are held as open ‘café’ sessions where the audience is presented with 10 short interesting presentations.

- All presentations will be held in English.

- You will have a maximum five minutes to present your work including one to two minutes for discussion.

- You can use only one PowerPoint slide with the format 16:9, displayed on a 60” screen.

- The presentation must be made with a font like a normal presentation so that the audience clearly can read the text and see the illustrations.

- You are of course allowed to use animations to support your presentation.

- Do not cover too many details. Remember that you have to communicate with the audience in a limited time.

- Patient confidentiality must be protected.

- Avoid commercial reference. Advertising of products is not allowed.

Please notice that the chairperson of the session will terminate your presentation if you exceed the five minutes.

The PowerPoint slide for the ‘One slide-five-minute’ presentation must be sent before the conference to by June 1st. It is not possible to upload the slide for this presentation from the Speakers Lounge during the conference.

In order to effectively communicate the content of your workshop, you are kindly requested to follow these guidelines.

Please inform the WONCA Conference Office immediately at of any changes in title, presenter or mailing address. This will go into the online program.

CHAIRPERSON

The author submitting the abstract is responsible for appointing a chairperson for the workshop among the presenters/authors. The chairperson is required to arrive in the lecture room 15 minutes before start. He/she shall make sure that all presentations are uploaded.

Each workshop will start and finish on time and last 60 or 75 minutes. The chairperson introduces very briefly each speaker and they are responsible for disposing time.

It is very important to keep the time limit during the presentation!

Make sure that the audience can see and hear the presenter. Microphones must be used by all presenters.

Make sure that a workshop is an interactive session, not just a lecture. The attendees expect to participate actively. Be prepared to encourage discussion and interaction!


POWERPOINT PRESENTATION
